Leave Policy

The Research Policy Handbook chapter 9.4, “ Postdoctoral Scholar ,” provides the University policies on vacation, sick leave, maternity leave, and family leave. Listed are minimums; the faculty mentor may provide additional time off.

The scholar's funding source may have restrictions on payments while on leave - please review all agency contracts or award letters.

All scholars have short-term and long-term disability plans for use with maternity leave or injury. Please contact the Benefits Manager at 723-6013 for details.

We require vacation, sick leave, maternity, paternity, bereavement and other types of leave to be addressed in the Offer Letter.

Vacation

One day paid vacation leave per month of appointment, in addition to official University holidays. Individuals who work on a University holiday may take another day to be scheduled with approval of the faculty sponsor.  Time spent attending scientific meetings is not to be considered vacation.  The maximum amount of vacation that can be accrued is 12 days.  Scholars are expected to use their allotted vacation in the year it is accrued; a period of terminal leave is not permitted.  All vacation leave must be scheduled in advance with the faculty sponsor.  Requests for additional time must be negotiated with the faculty sponsor and it is recommended that those requests and responses be documented in writing.

Sick Leave

Scholars may continue to receive fellowship stipends or salaries for up to 15 calendar days of absence due to illness per year.  Sick leave can be used for the individual or for the care of immediate family.  Under exceptional circumstances, this period may be extended at the discretion of the faculty sponsor.  Sick leave is not cumulative from one appointment year to the next.

Maternity Leave

Scholars are eligible to receive up to six weeks maternity leave with full pay.  The scholar is expected to apply for short-term disability in the Office of Postdoctoral Services.  Disability leave may be extended on the advice of the physician.

Scholars on disability leave continue to be registered while on leave. Insurance premiums continue to be charged following standard policy.

Family and Medical Leave

Scholars may be eligible for unpaid family and medical leave for certain family and medical reasons, including events such as the birth or adoption of a child.  To be eligible for such leave, a scholar must have been in training at Stanford for at least twelve months.  Requests for family or medical leave should be made in advance and approved by the faculty sponsor in consultation with the Office of Postdoctoral Services.
